Managing Multiple Priorities, Projects and Deadlines

We all manage multiple priorities, projects and their associated deadlines.

What or how do you not only manage them, but prioritize them and meet those deadlines?

Everything is on my calendar...everything. Recurring tasks, individual tasks, blocks of time reserved for a type of task...they all take place in time and as such are depicted that way so I can make scheduling decisions based on task category.

As a leader of a small fractional CFO/accountant firm, I have 5 task categories: Billables & Engagement Management, Sales, Marketing, Administration, and Personal. Each one has a different color on my calendar and there is an optimal balance. All I need to do is glance at a given week to see if I'm spending my time optimally.
