I have a small public company client that recently implemented Certent (formerly known as Easi). I was not involved in the system selection process, but it seems to meet the client's needs, including providing all of the optionees with access to their information.
Based on prior implementation experience, Shareworks and Optrack are two SaaS tools to consider. Both applications offer similar features such as cap table, options pool management, valuation and expense reporting, and supports US and Canadian filers. Data from Excel can be migrated to either software with relative ease. Shareworks is scalable and can handle a larger plan participant base; it has configurable rule sets, if done properly, can reduce administrator workload. Shareworks is offered by Solium Capital based in Calgary; Optrack was formerly owned by Syncbase, a Toronto company. In 2016, Syncbase was acquired by Computershare, based in Australia. My company (pre-public, VC-backed) was with CapMX, but we were converted to Solium when Solium bought out CapMX. I'm not a big fan of Solium. It has a LOT of functionality - way more than our company needs. But it is VERY unintuitive and difficult to use. The help desk people are great, but I need to spend HOURS on the phone with them just to figure out how to calculate stock comp expense.
We got forced from CapMX to Shareworks as well. Shareworks was certainly harder at first. However, now that we've been using Shareworks for 1+ years...I'm quite happy with it. Support is top notch and they are able to handle every issue. Shareworks is now my #1 preferred solution (...previously it was CapMx for private companies).
